Because of the volunteer nature of most of the positions in executive management, critical account information and access is not always available because: 1) this information is not in one file and 2) is distributed piecemeal among several individuals. Should there be a need for such information, there must be a method that one can obtain it in a timely and efficient manner and be insured that the information is accurate and current. The Board of Directors recommends a list of all financial and business accounts, such as bank accounts, PayPal accounts, website accounts, liability insurance accounts, State of California business registrations, IRS business registrations, their respective login names and passwords and all other information necessary to conduct the day to day business of the Consortium be maintained in a single file. This file should be updated regularly, at a minimum of once per year, and encrypted and distributed to Officers of the Consortium and the Executive Director. This file is not to be distributed to any other individuals, but selected parts of the information contained within may be transmitted on a need to know basis to others as is necessary to conduct business for the Consortium. Upon completion of an Officer’s term, the Officer is to delete the file from any storage device which they own and forfeit further access to these accounts unless given explicit written permission from the Board of Directors. Policy for Creation of an Institutional Task List The Web3D Consortium is interested in adhering to best business practices in the everyday management of Consortium financial and business activities. Because of the volunteer and transient nature of most of the positions in executive management, institutional knowledge of critical business practices can be lost with departure of an individual from the Consortium or with the election of a new member of the executive management team. As a result, significant and redundant efforts can be created in reestablishing this knowledge. The Board of Directors recommends the creation and maintenance of a document be that lists the critical business activities of the Consortium and methods for their completion, such as due dates and websites for business registration within the State of California, tax return due dates and addresses, SIGGRAPH best practices (booth creation, tech talk organization, etc.), Symposium management (call for sponsors, website maintenance, marketing, etc.). This document is to be reevaluated at a minimum on a yearly basis and be available to any member.
